If you are planning an event, then having an event checklist is something that will come in very handy. Anything requiring a lot of organisation can quickly become overwhelming unless you find a way of keeping track of the myriad tasks that need to be accomplished to pull off an event to remember. All event management suppliers will tell you that the secret to their success is having a good checklist on which they can rely when the pieces all start coming together. Even if you hire a party planner, you will quickly realise that they all use an event checklist to help them focus and keep track of everything that they have to do.

Event management is a tricky affair. You need to coordinate so many different people, organisations and elements that it is necessary to have some way of tracking it all. The only way to do so properly is to have an event checklist where you can note every single element that needs to get done. Depending on the kind of party that you are planning you can always choose from the number of ready-made event checklists available or you can create your own.

Creating an event checklist requires just a little bit of concentration and a good mind for organising. You will have to start off by thinking about your event and breaking it down into its different components. Will you be having music? If so, then you will have to decide between a DJ, a band or pre-recorded tracks. Depending on what you choose, you will probably have to rent all of the necessary equipment for the event. If you have a band or a DJ, they might even require that you have lights for their performance. Next you will need to consider catering. Will there be a full meal? Light snacks? Hors d’oeuvres? If you are serving food, you will have to decide whether it will be a sit-down meal or a buffet. Depending on what you decide you may need to rent tables, chairs, place settings and centre pieces. Sometimes caterers will provide some of these things, but if they do not, then you will have to take care of it. How about drinks? Will you be serving alcohol? If so, you will need a liquor license. Choosing your venue is crucial to the success of any event so choose yours carefully. If your event will be held outdoors, what will you do if it rains?

As you can see playing the role of a party planner is not an easy one. It requires that you think of any and every eventuality and have a back-up plan for anything that could go wrong. Your event checklist will make it easier to keep track of all your contingency plans so that you are ready to go at a moment’s notice. Planning a big event is always a bit stressful, but as long as you have your event checklist by your side, you will be able to plan even the biggest get together without any trouble.
