Being an event organizer is no mean task. Making sure that the entire event runs seamlessly can easily rob you of your night’s sleep. These days, most companies, handover the charge of conducting seminars, tradeshows, and product launches to event marketing companies. You need to ensure that each task takes the least amount of time and is cost-effective as well. It boils down to one simple fact: you need to possess good communication skills and you also have to be savvy when it comes to organizing and streamlining all resources.
The important factor that you must keep in mind is that you need to work well under pressure that increases as the event approaches near. Although, the responsibilities of an event organizer vary upon the type of the event, we can sum them up as follows:
• Coordination with customers to know their exact requirements concerning the event.
• Mapping out and managing the overall budget.
• Market research should be done well in advance so that opportunities can be identified.
• A secure venue should be booked and care should be taken to maintain obligations concerning health, insurance, legal, and safety.
• Active synchronization with caterers, contractors, and other crews.
• Confirming list of attendees including keynote speakers and other VIP’s via event registration.
• Car parking, first aid, and traffic control should also be taken care of.
• The room layouts should be mapped out well in advance. Demonstrations and workshops should be schedules in such a way that there are no overlaps.
• Networking with the PR and marketing team during the promotional stage.
• Space selling and sponsorships is another crucial factor.
• Delegate packs should be prepared.
• Catalogs, tickets, brochures, and pamphlets can help to create a brand name out of the event.
• Client enquires need to be answered and resolved efficiently.
• During the post event stage, the location should be cleared properly and the reports containing the entire analysis need to be prepared for the stakeholders.
Thus you have an idea about the massive responsibilities that an event organizer has to undertake. The essential point here is to utilize all available resources and make sure that your team does the jobs that you have assigned. However, it is not a cakewalk so you need to be prepared for some setbacks during the initial stages. No matter how well you plan a schedule; there will be situations when everything seems to go haywire. That is when your skill and capabilities will be truly tested.
